Add units to a property

Add the apartments, studios, shops or rooms you rent out, with their features, and edit, copy or delete them later.

Before you start

A unit is one thing you rent out: an apartment, a studio, a shop or a room. Every lease is attached to a unit, so a property needs units before you can create leases.

Owners and Administrators can add and delete units. Owners, Administrators and Caretakers can edit and copy them. Managers can see units but not change them.

Have the unit's name ready, such as "Studio 3" or "Boutique A". Everything else is optional.

1. Open the property

In the menu, select Properties, then select the property's name. The page shows the property's units and a summary of how many are Occupied or Vacant.

2. Fill in the unit

Select Add unit. A form opens with these fields:

  • Unit name (required): at least 2 characters, and different from the other units in the same property. Two properties can each have an "Apt 2".
  • Status: leave it on Vacant for a unit you are about to let. See Unit vacancy status.
  • Description: floor, size, anything a colleague needs to recognise the unit.

3. Add features (optional)

Under Property Features (Optional), select Add feature and type a feature with its quantity, for example "Air conditioner" with 2. Repeat for each feature. Use the bin button at the end of a line to remove it. Features show as small tags on the unit's row.

4. Save the unit

Select Create Unit. The form closes, the unit joins the list and you see "Property unit successfully created!"

Edit, copy or delete a unit

Each unit row has an actions menu at its end. It offers:

  • Edit: change the name, status, description or features, then select Update Unit.
  • Clone: makes a copy with the same description, status and features. The copy is named after the original, for example "Clone 1 - Studio 3". Rename it afterwards. This is the quickest way to add ten identical rooms.
  • Delete: removes the unit after you confirm.

What happens next

Once the unit exists you can create a lease on it. Vacant units are the ones offered when you pick a unit for a new lease. The unit's status then follows the lease, as explained in Unit vacancy status.

Common problems

I don't see the button to add a unit

Only Owners and Administrators can add units. A Manager or Caretaker sees the list without the Add unit button. Ask an Owner or Administrator, or ask an Owner to change your role.

The unit won't save

Check the name. It needs at least 2 characters, and no other unit in the same property can have it. Names are compared inside one property only.

The unit won't delete

You see "Failed to delete unit!" when the unit has a lease on record, even an ended one, because the rent history stays attached to it. If the unit is simply not available any more, set its status to Under Renovation instead of deleting it.

I can't edit a unit

Editing is for Owners, Administrators and Caretakers. A Manager can view units only.

I have many units to add

Use Clone for identical units, or load them all at once from a spreadsheet: see Import properties, units and tenants from a spreadsheet.
