Your dashboard

What each card on your dashboard shows, how the setup checklist works, and who sees what.

Before you start

The dashboard is a one-page summary of the organization you are working in: money owed, how full your buildings are, open maintenance requests and leases that need a decision. Every team member sees it, whatever their role. Tenants have their own, simpler page.

  • The figures are calculated when you open the page, so they move as soon as a payment or a lease changes.
  • Nothing on this page can be edited. Each card is a window onto a list you can open.
  • An organization that is still being set up also shows a setup checklist at the top (step 5).

1. Open the dashboard

In the menu, select Dashboard. The page has three bands, from top to bottom: billing, portfolio and occupancy, then leases and maintenance.

2. Read the billing cards

The first band is titled "Billing · This month". It has three cards:

  • Outstanding balance: everything still unpaid across all leases, not only this month's charges. Select the card, or View unpaid invoices, to open those invoices.
  • Collection rate: of the charges that fall due this month, the share already paid and approved. At 80% or more, a Healthy badge appears.
  • Overdue charges: how many charges are past their due date and still unpaid. When there is at least one, the card turns red and shows Past due. Select View overdue invoices to see them.

3. Read the portfolio cards

  • Properties: how many properties you have. The line under the number says how many have no active tenant, or "All currently rented" when every property is let.
  • Active Tenants: the number of active leases that have not passed their end date. Under it you see the amount collected this month next to the rent expected from those leases.
  • Unit Occupancy: a bar and a percentage showing your occupied, vacant and under-renovation units. Each unit counts once, under the status set on the unit.

Select Properties or Active Tenants to open the full list.

4. Read the maintenance and lease cards

  • Open Requests: the five most urgent open maintenance requests, most severe first. Select one to open it, or View all for the full list. When nothing is open, you see "No open requests"
  • Lease Pipeline counts the leases that need attention:
    • Drafts ready to issue: draft leases that already have a start date and a rent.
    • Expiring in 30 days: active leases that end within the next 30 days.
    • Past end date: leases still marked active after their end date. This row is always in red; deal with these first.

For an Owner or Administrator on a live organization, the drafts row is a link to the review where you activate those leases in one go. For everyone else it is a count only.

5. Follow the setup checklist

While your organization is still being set up (you see a "Setup" tag next to its name in the menu), a card titled "Set up your workspace" sits above the billing band. Each step ticks itself off once the data exists:

  1. Add your properties
  2. Add units to each property
  3. Add tenants and their leases
  4. Activate a payment method

Select a step to go to the page where you do it. Owners and Administrators also get two buttons: Import from spreadsheet to bring in your portfolio from a spreadsheet, and Go-live review to check everything and go live. Once all four steps are ticked, Go-live review becomes the main button.

What happens next

Use the cards as shortcuts. An overdue count leads to the invoices to chase, a drafts count leads to leases waiting to be issued, and a request in the list opens straight to its details. Once your organization goes live, the setup checklist disappears and the dashboard keeps only the cards.

Common problems

I don't see the setup checklist

It only shows while the organization is being set up. Once the organization has gone live, the checklist is gone.

"Drafts ready to issue" doesn't open anything

The row is a link only for an Owner or Administrator, and only once the organization is live. Before go-live, draft leases wait for the go-live review. A Manager or Caretaker sees the number but cannot activate leases.

A property says it has no active tenant, but I have a lease for it

Only an active lease counts, and only until its end date. A lease still in draft, waiting for a signature or past its end date does not make the property let. The same rule sets the Active Tenants count.

The collected amount differs from Analytics

The dashboard counts the payments recorded this month, including ones still waiting for approval. Analytics counts only approved payments, grouped by the month each charge was due. So a late payment for last month's rent shows in this month's dashboard figure but in last month's bar in Analytics. See Analytics.
