Analytics
Read the charts, choose a period, and compare what you billed with what you collected.
Before you start
Analytics shows how your organization performs over time: what you billed against what you collected, how full your units were, where your leases stand and which properties earn the most. Use it for the monthly review. Use the dashboard for today.
- Only an Owner or an Administrator can open it. Managers and Caretakers don't see the link, because the page adds up money across the whole organization.
- The charts fill in as you issue invoices and approve payments. A new organization shows empty charts.
1. Open Analytics
In the menu, select Analytics. The page opens on the last 12 months, including the current one.
2. Choose the period
Above the charts you have two ways to set the period:
- Select 3 months, 6 months or 12 months. Each one ends with the current month.
- Pick your own dates in From and To. The page updates as soon as you change a date.
The period always runs in whole months: a start date in the middle of March counts from 1 March. It can't go past the current month, and it covers at most five years. The page address keeps your choice, so you can send it to a colleague who has access.
3. Read billed and collected
Two cards sum up the period:
- Billed: "Charges due in the selected period". Voided charges are left out.
- Collected: "Confirmed payments allocated to those charges". A payment still waiting for approval is not counted yet.
The gap between the two is what you have not collected. Both are grouped by the month the charge was due, not the month the tenant paid.
4. Read the charts
- Billed vs collected by month: two bars per month, Billed and Collected. A month where the second bar is much shorter is a month to chase.
- Occupancy rate: the share of your units under a lease in each month, from 0 to 100%. A unit counts as held from the lease start date, even before the lease is activated, until the lease ends or is terminated. Each month is measured against the units you had at the time, so adding units today doesn't change past months.
- Lease pipeline: a ring showing how many leases are in each status, for example Draft, Pending signature, Active or Terminated. This one is a snapshot of today and does not follow the period.
- Revenue by property: your ten best properties by amount collected on charges due in the period.
When a chart has nothing to show, it says "Nothing to show for this period yet."
What happens next
Analytics only reads your data; nothing you do here changes it. If a month looks low, open the invoices from the menu and follow up on the unpaid ones. If occupancy is dropping, look at the vacant units on your properties.
Common problems
I don't see Analytics in the menu
Only Owners and Administrators have it. If you are a Manager or a Caretaker, ask an Owner or Administrator for the figures. You still have the dashboard, which shows this month's picture.
The charts are empty
The period may not contain any charge yet. Widen it with 12 months. A brand new organization has nothing to show until invoices exist and payments are approved.
A payment I recorded isn't in Collected
Only approved payments count. Approve it first, then check again. A payment also sits in the month its charge was due, so rent paid late for February still appears under February.
What's the difference between billed and collected?
Billed is what you charged for the period. Collected is the part of it that tenants have paid and you have approved.
