Contract templates
Upload your lease document once, place the signature fields, and reuse it for every lease.
Before you start
A contract template is your lease document, uploaded once and reused. Owners and Administrators create and manage templates. Every other member can pick a published template when creating a lease.
- The document must be a PDF of 5 MB or less.
- Decide where the tenant and your team sign, and which details the lease should fill in for you, such as the rent or the unit.
1. Create the template
In the menu, select Contract templates, then New template. Fill in:
- Template Name *: a name your team will recognize, for example "Standard Residential Lease".
- PDF File *: your lease document.
Select Create Template. You see "Contract template created successfully!" and the template appears in the list as Draft.
2. Place the signature fields
On the template's row, select Manage. In the Signature fields card, select Open builder. The builder first prepares page previews, which takes a moment.
- Under Assign new fields to, choose Tenant or Personnel. The tenant signs their fields online. The person assigned to a lease signs the personnel fields.
- Under Fields, drag a Signature, Text or Date field onto the page. Drag it to move it, and use the corner handle to resize it.
- Under Auto-filled fields, drag the details you want filled in for you, such as the tenant's name, the monthly rent, the property or the unit. They take their value from each lease at signing, and always belong to the tenant's side. The field names appear in English in the builder.
Select Save fields, or Save and return to go back to the template.
3. Publish the template
Back on the template page, select Publish template. You see "Contract template published successfully!" and the status becomes Published! Only published templates can be picked in a lease.
4. Use it in a lease
When you create a lease, or while it is still a draft, choose Use template under Document source and pick the template in Template Contract. Save.
On the lease page, the Signature fields card first says "Copying fields from the template, refresh in a moment to continue." Once the fields have been copied it says "Fields configured, ready to send for signature." You can still open the lease's own builder to adjust the fields for that one lease.
What happens next
With the fields in place, you can send the lease to the tenant: Send a lease for signature. If the template has no fields yet, place them on the lease itself before sending.
Common problems
My template is not in the lease's list
The list shows published templates only. Open the template with Manage and publish it. If it says Draft again, someone edited it since.
My published template went back to draft
Any change sends a published template back to draft: saving the details, replacing the file, or saving fields in the builder. Publish it again when you are done.
I replaced the PDF and the fields are gone
A new file clears every placed field, because positions on the old document mean nothing on the new one. Draft leases using the template lose their copied fields too, and you place them again. A lease whose signature request is already out is left alone.
I can't delete a template
A template can be deleted only while it is a draft and no lease uses it. If a lease relies on it, the Delete template button stays disabled.
I don't see the button to create a template
Only Owners and Administrators can create and manage templates. Ask one of them, or upload the PDF directly on the lease instead.
