Recurring charges

Bill water, security or any other charge on a repeating cycle, and see when each one is invoiced.

Before you start

A recurring charge is anything you bill on a repeating cycle on top of rent: water every month, security every quarter, a yearly service fee. Rent itself is already a recurring charge. OneView creates it from the lease terms when the lease becomes active, so you never add it here.

  • Everyone on your team can see a lease's billing page. Only Owners and Administrators can add, edit or remove a recurring charge.
  • You need a charge type first (water, security and so on). See Charge types.
  • Recurring charges are only billed while the lease is active. On a terminated lease the billing page is read-only.
  • Amounts are whole francs (FCFA), above zero. No centimes.

1. Open the lease's billing page

In the menu, select Tenants and open the tenant. On their active lease, select Billing. You can also open the lease with Manage and select Manage billing.

The page lists the lease's Recurring charges, its Pending charges and its invoices. The rent shows as Base rent with a padlock, because it is set in the lease.

2. Add the recurring charge

In the Recurring charges section, select Add recurring. A form opens:

  • Charge type: pick the type. Picking it fills the amount with the type's default, if it has one.
  • Amount (Fcfa): what you bill each cycle, for example 5 000.
  • Frequency: Monthly, Quarterly, Semi-annual, Yearly, or every 4 months.
  • Start date: the first day of the first period. On a lease that isn't active yet, it starts as the lease start date (on an imported lease, the date its rent resumes), and when you activate the lease every period since then is billed, like the rent. On an active lease, it starts as today and can't be in the past.
  • End date: optional. "Leave blank for open-ended billing." A period that would start on the end date is not billed.
  • Active: untick it to pause billing without removing the charge.

Select Save recurring charge. You see "Recurring charge added."

3. Know when it gets billed

Each period runs from its start date to the next one. The charge falls due on the first day of the period, so the tenant pays before the period starts. OneView does not prorate: a monthly charge starting on the 15th covers 15th to 15th.

A job runs every night at 2:00 am (Cameroon time). It creates the charge for any period starting within the next 10 days and puts it on an invoice. A charge for a period starting on 1 April is therefore invoiced around 22 March. If rent and your water charge both fall in that window, they go on the same invoice.

The Next invoice tile shows the date the next charge falls due. The invoice itself is created up to 10 days earlier.

4. Edit or remove it

On the charge's row, use Edit charge or Remove charge.

  • You can change the amount, end date and the Active box at any time. A new amount applies to periods not yet billed. Charges already created keep their old amount.
  • Once the first period has been billed, the start date and frequency are locked. To change them, set an end date on this charge and add a new one.
  • Removing a charge stops future billing. Charges already created stay, and are still invoiced.

What happens next

Each night the new periods are posted, grouped onto an invoice for the lease, and the tenant is notified. Until then, a charge that exists but is not on an invoice yet shows under Pending charges. Once invoiced, you find it on the invoice. See How invoices work.

Common problems

I can't pick a start date in the past

On an active lease, a new recurring charge starts today or later. OneView doesn't bill past periods there, so an earlier start date would only produce one old bill that is overdue the moment it appears. For something the tenant already owes, add a one-off charge and enter the dates it covers.

Will it bill the months I missed?

No. On an active lease, OneView only bills periods that start today or later. If you forgot to start a charge months ago, add a one-off charge for what is owed.

I added a charge and there is no invoice

The invoice is only created once the period starts within 10 days (or has already started), and only on an active lease. A charge starting next month waits until then. The nightly job runs at 2:00 am, so a charge starting today appears the next morning.

I can't change the start date or frequency

They are locked once a period has been billed, so earlier invoices never stop matching. Set an end date and add a new recurring charge.

Can I change the rent here?

No. Rent is read-only on this page because it comes from the lease terms.
