Unit vacancy status
What vacant, occupied, reserved and under renovation mean for a unit, what sets each one, and how to change it.
Before you start
Every unit carries a status that tells you at a glance whether it can be let. You see it as a coloured badge on each unit row, and as counts at the top of the property page: Total, Occupied, Vacant and Reno.
You can set a status by hand if you are an Owner, Administrator or Caretaker. Leases also change it for you.
The statuses
- Vacant: the unit is free to let. A new unit starts here.
- Occupied: a lease is running on the unit, or someone set this status by hand.
- Reserved: the unit is taken by a lease that is not active yet, for example a draft or a lease waiting for signature. You can't choose this one yourself, it appears on its own.
- Under Renovation: the unit is off the market for works. Only you set this one.
In the property's counts, reserved units are counted with the occupied ones. The counts label renovation as Reno.
What changes a status for you
- Creating a lease on a unit, even as a draft, marks the unit occupied. It reads Reserved until the lease is active, then Occupied.
- Terminating the lease, or deleting a draft lease, sets the unit back to Vacant. This only happens if the unit was occupied and no other lease is open on it.
- A unit under renovation never changes by itself. Ending a lease will not turn it vacant, and you can't create a lease on it.
Change a status by hand
Open the property, open the actions menu on the unit's row and select Edit. In Status, choose Vacant, Occupied or Under Renovation, then select Update Unit. You see "Property unit successfully updated!"
Use Under Renovation when works start, and switch back to Vacant when they end. A unit you let outside OneView can be marked Occupied without a lease.
What happens next
Only vacant units are offered when you pick a unit for a new lease. Status also feeds the occupancy figures on your dashboard and on each property.
Common problems
The unit still says occupied after the tenant left
The status follows the lease. Terminate the lease and the unit goes back to Vacant, unless another lease is still open on it. If the unit was marked occupied by hand, with no lease, change it yourself with Edit.
The unit says reserved
A lease exists but is not active yet. Finish and activate it, or delete it if it was made by mistake and it is still a draft.
I can't find my unit when creating a lease
The list offers vacant units only. A unit that is occupied, reserved or under renovation does not appear. Change its status if it was set wrongly.
I can't change a status
Owners, Administrators and Caretakers can. A Manager can only view units.
