Draft and live
What you can do while your organization is in draft, and what changes the day you go live.
Before you start
Every new organization starts in draft. Think of draft as a rehearsal room: you can set up everything, and nothing reaches your tenants or your books until you go live. Going live is a single step that only an Owner or an Administrator can take.
How to tell which one you are in
In draft, a Setup tag sits next to the organization's name in the menu, and a banner reads "Setup mode:" on every screen. Your dashboard also shows the "Set up your workspace" card. All three disappear when you go live.
What you can do in draft
- Add properties and their units.
- Add tenants and their leases. The leases stay in draft.
- Load your whole portfolio from a spreadsheet with Import data.
- Set up your payment methods.
- Invite staff and choose their roles.
The setup card on your dashboard walks through the same steps in order.
What waits until you go live
- No lease can be activated, and none can be sent out for e-signature.
- No invoice is issued, so nothing is billed.
- No tenant is contacted. They get no invitation and no message.
- Tenants don't see your organization in their view yet.
What changes when you go live
Every draft lease that has a tenant, a rent amount and a start date is activated, and its first invoice is issued to the tenant. Tenants who have never been invited receive an invitation to their portal, by email or WhatsApp. Leases that are missing details stay in draft, and you can activate them later once you complete them.
From then on, new leases can be activated and sent for signature as soon as they are ready.
Going live cannot be undone. An organization never returns to draft.
What happens next
Going live needs a paid membership. Get a membership quote and go live shows how to ask for your quote and where the button is.
Common problems
Will my tenants hear from me if I add their lease now?
No. In draft nothing is sent. The first message a tenant receives comes when you go live, or when you activate their lease afterwards.
Can I go back to draft after going live?
No. Going live is permanent. Check your setup first with the go-live review, which lists what is ready and what is missing before you commit.
My organization is live but a lease still says draft
A lease has its own status, separate from the organization's. It stays in draft until it has a tenant, a rent amount and a start date, and until someone activates it. Complete the lease, then activate it from its page.
Can I delete a draft organization?
Yes, as long as no lease has moved past draft. The account that created the organization can do it from the Details tab of its page, with Delete organization.
