Invite a tenant to the portal
Send a tenant an invitation by email or WhatsApp, resend or cancel it, and see what they get.
Before you start
An invitation lets a person join your organization as a tenant, even if they have no OneView account yet. Any member can send one: Owner, Administrator, Manager or Caretaker.
Your organization has to be live. While it is in draft, the invite button does not appear and no tenant is contacted. Once you go live, it shows up on the tenants page.
You only need the person's email address or WhatsApp number. One of the two, not both.
1. Open the invitation form
In the menu, select Tenants, then Invite tenant. A small window opens.
2. Enter their email or number
In Email or WhatsApp number, type the address or the number, for example "[email protected]" or "6 70 00 00 00". The same field takes both. For a number from outside Cameroon, include the country code.
3. Send it
Select Send invitation. The invitation goes out straight away and you see "Invitation sent to [email protected]." There is nothing else to send.
- If you entered an email address, the tenant gets an email from OneView with an Accept invitation button.
- If you entered a number, the tenant gets a WhatsApp message with the same link.
What the tenant sees
The message says they were invited to join your organization as a tenant. The link opens a page with your organization's name, their email or number, and two buttons: Accept and Decline.
If they already have an account, accepting signs them in and opens their dashboard. If they don't, they are sent to create an account with the same email or number, and the invitation is accepted when they finish. They see "Invitation accepted! You are now a tenant of Résidence Les Palmiers."
What happens next
Until the tenant answers, the invitation waits at the top of the tenants page, in a list that reads like "2 pending invitations". Each row shows the address or number and the date it was sent.
- Accepted: the row leaves the pending list and the person appears in your tenants list.
- Declined: the row leaves the pending list. The person is not added.
Accepting does not give the tenant a lease. They are in your organization, but they see nothing of a unit until you give them one. Open them from the tenants list and select Add lease.
Resend or cancel an invitation
On a pending row, select Resend to send the same invitation again, by the same channel. Use it when the tenant says they never got it, or when the link no longer works. Typing the same address or number in the invitation form again does the same thing.
To take an invitation back, select Revoke and confirm. The link already sent stops working, and you can invite the same address again later, for example after fixing a typo.
Tenants who came from an import
If you loaded your tenants from a spreadsheet, they have an account they have never opened. When you go live, the ones whose lease is activated receive an access invitation automatically. Later, an Owner or Administrator can send one from the tenant's page with Send access link, and sees "Access link sent." The button disappears once the tenant has set up their access.
Common problems
I don't see the invite button
Your organization is probably still in draft. The button and the pending list only appear once you go live, so that no tenant is contacted early. If your organization is live, check that you are in personnel view and in the right organization.
The tenant says they never got it
Check the address or number on the pending row for a typo. If it is wrong, revoke the invitation and send a new one. If it is right, ask the tenant to look in their spam folder, then select Resend. Sending by WhatsApp needs a working number that can receive WhatsApp messages.
It says the person already belongs to a tenant of this organization
The form shows "already belongs to a tenant of this organization" under the field. That email or number already belongs to a tenant of your organization, so no invitation is needed. Look for them in the tenants list.
I typed an address that is already pending
OneView does not send a second invitation. It sends the pending one again and shows "Invitation re-sent to [email protected]."
The tenant sees that the link is invalid or expired
The tenant's page reads "This invitation link is invalid or has expired." Invitation links do not last forever, and a revoked invitation no longer works. Select Resend for a fresh link. If the row is gone, send a new invitation.
I get "Too many attempts. Try again later."
OneView limits how many invitations one person can send in an hour. Wait a while and try again.
I want the invitation to go by WhatsApp, but the tenant has an email
The invitation uses the one contact you typed. Enter the WhatsApp number instead of the email address, and it goes by WhatsApp.
