Set up payment methods

Choose how your tenants pay you: bank account, MTN or Orange Money, or cash. Add the instructions they see and switch each method on or off.

Before you start

A payment method is a way you tell your tenants to pay you: a bank account, a mobile money number, or cash. OneView doesn't move the money. Tenants pay you directly, then record the payment in the portal, and you approve it once the money has reached you.

  • Only an Owner or Administrator can add, edit, activate, deactivate or remove a payment method. Everyone else on your team can see the list but not change it.
  • For a bank account, have the RIB ready as a PDF or an image (PNG, JPG or WebP).
  • For MTN or Orange Money, have the number tenants should pay, as 9 digits, and/or the shortcode your operator gave you for receiving payments.
  • For cash, you need nothing more than a name.

1. Open the Payment Methods tab

In the menu, select Organization, then the Payment Methods tab. Your methods show as cards, each with its status and the number of payments it has collected.

2. Add the method

Select Add payment method. A form opens:

  • Payment Method Name: the name tenants pick from, for example "Bank deposit" or "MTN Mobile Money".
  • Method Type: Bank deposit, MTN Mobile Money, Orange Money or Cash.
  • Description: the instructions tenants read when they choose this method. Use it for anything they should know, such as the account holder's name, the opening hours of your office for cash, or what to write as the transfer reason.

3. Say how tenants pay

Once you choose a type, the form shows what that type needs.

  • Bank deposit: under Bank Details, select Upload RIB and choose the RIB. Tenants can open it when they pay. A bank method can't go live without it. Later, Replace RIB swaps it for a new one.
  • MTN Mobile Money and Orange Money: under How Tenants Pay You, fill in Collection number (the number tenants pay into, for example 677123456), Shortcode to dial, or both. Write {amount} in the shortcode where the amount goes, and {number} where your collection number goes. OneView fills them in for each payment. If you set both, tenants are shown the shortcode. OneView can't check that a shortcode works, so confirm it with your operator before you go live.
  • Cash: nothing more to fill in.

Tenants pay from their own phone, outside OneView, and you confirm each payment once it arrives in your account.

Select Create Payment Method. You see "Payment method created successfully!"

4. Activate it

A new method starts Inactive, so tenants can't use it yet. On its card, open the actions menu (the three dots) and select Activate. You see "Payment method activated." and the card reads Active.

What happens next

Tenants see your active methods when they pay an invoice from the portal, with your description and the instructions for the method they pick: the RIB to open for a bank deposit, the number or shortcode to copy for mobile money. You see the same active methods when you record a payment yourself. See Record a payment to take it from there.

To change a method later, open the actions menu and select Edit. Changes show to tenants the next time they open the payment form. To stop offering a method, select Deactivate. Payments already made with it are kept.

Common problems

I can't add or change payment methods

Only Owners and Administrators can. Managers and Caretakers see the tab without the Add payment method button or the actions menu. Ask an Owner or Administrator.

I can't activate a method

A bank method needs its RIB first. If it is missing, you see "Upload the RIB tenants should transfer to before activating this bank method." Edit the method and upload it. A mobile money method needs at least a collection number or a shortcode.

OneView rejects my mobile money number

Enter the 9 digits only, without +237 or spaces. The number also has to belong to the operator you chose: an MTN Mobile Money method takes an MTN number, an Orange Money method an Orange number.

I can't remove a method

The Remove method option only appears on a method no payment has been made with. Once one has, OneView refuses with "Can't remove a payment method that has already collected payments." Deactivate it instead.

Tenants don't see the method

Check that its card reads Active. Inactive methods are hidden from tenants and from the record payment form.
