Audit log

See who created, changed or deleted a record, and when, in the log and on each record.

Before you start

The audit log answers "who changed this, and when?". Every time someone creates, edits or deletes a record in your organization, OneView writes a line with the person, the time and what changed. Nobody can edit or remove these lines from the app.

  • Only an Owner or an Administrator can open the log. Managers and Caretakers don't see it.
  • It covers the records you work with every day: properties, units, tenants, leases, invoices, charges, payments, maintenance requests and announcements, among others.
  • Changes made by OneView itself rather than a person show the author as "System".

1. Open the log

In the menu, under the organization section, select Audit Log. You see the latest changes first, newest at the top, for the current month. Each entry shows what happened (Created, Updated or Deleted), the type of record, who did it, the time, and the first few fields that changed.

2. Narrow the list

Above the list you have four filters. Pick as many values as you like in each of the first three:

  • All models: the type of record, for example properties or payments.
  • All activities: created, updated or deleted.
  • Anyone: one or more members of your team.
  • Date range: Today, This week, This month or Custom. With Custom, two date fields appear for the start and the end of the period.

Select Apply to update the list. Select Clear to go back to everything this month. When nothing fits, you see "No matching changes."

3. Open an entry

Select an entry to see it in full: Actor, When and, under Changes, each field that changed with its Before and After values. For a new record, you only see the values that were added. Select Back to Audit to return to the list.

A deleted record shows "Record destroyed" with no field detail.

4. Check one record's activity

You don't have to filter the log to follow a single record. Open a property, a payment or a maintenance request: at the bottom of the page, a panel titled "Activity" lists the latest changes to that record only, up to the last 30. Owners and Administrators see this panel; other roles don't.

What happens next

The log only reads. It does not undo anything. If you find a wrong change, go to the record and fix it there; the correction is logged too, under your name.

Common problems

Only Owners and Administrators can open it. A Manager or Caretaker has no link and no activity panel on records.

I can't find a change I know happened

The list starts on the current month. Choose Custom and set a wider period, then check that no All models or Anyone filter is hiding it.

Who deleted a record?

Filter All activities on "Deleted" and open the entry. It shows who did it and when. The record's old values are not kept for deleted records.

An entry shows "System" as the author

That change was made by OneView itself, not by a person: an automatic task, for example.
