Upload a signed lease

Attach a lease signed on paper, record who signed, and skip online signing.

Before you start

Use this when the lease was signed on paper or in person, for example with a tenant who has no email or smartphone. OneView does not ask the tenant to sign online.

  • Scan or photograph the signed lease into one PDF of 5 MB or less.
  • The lease exists as a draft, with Starts on and the rent filled in. See Create a lease.
  • Your organization is live. Owners, Administrators and Managers can activate a lease. Owners, Administrators and the person assigned to the lease can mark it signed.

1. Upload the signed PDF

Open the lease: from Tenants, open the tenant, then select Manage on the lease. In the Lease details card, under Document source, choose Upload PDF, select Upload document and pick your PDF. Then select Update details. You see "Lease agreement updated successfully!"

Picked the wrong file? While the lease is a draft, select Replace document.

2. Activate the lease

In the Signing card, select Activate lease and confirm. You see "Lease activated, the tenant has been notified." The lease is now Active and billing starts. Details of what activation does are in Activate a lease.

If you already sent the lease for online signature

Sometimes a request is out, and the tenant then signs on paper. The lease is Pending signature and you record the paper signature instead of waiting.

  1. In the Signing card, select Mark tenant signed for the tenant. For your own signature, select Mark as signed.
  2. In the window that opens, choose the file under Signed lease document with Choose file. While an online request is out, the signed copy is required. If you skip it you see "Attach the signed lease document to mark the lease as signed."
  3. Select Mark as signed. You see "Marked as signed by the tenant." or "Marked as signed by you."

Once both sides are marked signed, the lease turns active by itself, and the copy you uploaded stays as the lease document.

What happens next

The signed PDF is the lease document. Open the tenant's page and select Preview on the lease to read it. Billing is live: the tenant gets the first invoice and a notification. After activation the lease details and document are locked.

Common problems

The file is refused

Only PDF files of 5 MB or less are accepted. Combine the pages into one PDF, or export the scan at a lower quality.

I don't see Activate lease

The button appears only on a draft lease that has a start date and a rent, in a live organization, for an Owner, Administrator or Manager. In setup mode the card says "Signing and activation unlock when your organization goes live. Nothing is billed in setup mode."

I don't see Mark tenant signed

Marking a signature is possible only once a signature request is out, and only for an Owner, an Administrator or the person assigned to the lease. On a plain draft, upload the PDF and activate instead.
