Charge types

Define the kinds of charges you bill, such as water, security or fees, and how to archive or delete them.

Before you start

A charge type is a label for a kind of money a tenant can owe you: water, security, garbage collection, a late fee. You pick one every time you add a recurring charge or a one-off charge to a lease. The amount does not live on the type. You set it per lease, so a flat fee and a fee that changes from unit to unit both work.

  • Everyone on your team can see the list. Only Owners and Administrators can add, edit, archive or delete a type.
  • Amounts in OneView are whole francs (FCFA). There are no centimes.
  • You don't need a type for rent. Rent comes from the lease terms.

1. Open the list

In the menu, select Organization, then the Charge Types tab. You see every type with its category and default amount.

Three types may already be there, marked System: Rent, Advance rent and Caution. OneView creates them the first time a lease needs them and fills them in from the lease terms. You can't edit or delete them.

2. Add a charge type

Select Add charge type. A form opens:

  • Name: for example Water, Security or Garbage. Two types can't share a name in the same organization.
  • Category: Utility, Fee or Other. It groups your types. The name is what tenants see.
  • Default amount (Fcfa): optional. When you later pick this type on a lease, the amount field fills in with this figure. You can still change it each time.

Select Save charge type. You see "Charge type created." and the new type joins the list.

3. Edit, archive or delete a type

Open the menu at the end of the row.

  • Edit changes the name, category or default amount. The edit form also has Archived (hidden from pickers). Charges already posted keep the description they were created with.
  • Archive hides the type from the lists you pick from. The row shows Archived. Restore brings it back. You can't archive a type while a lease still bills it through an active recurring charge. End or turn off those recurring charges first.
  • Delete removes the type after you confirm. It only works for a type that no charge has ever used.

What happens next

The type now appears in the Charge type list when you add a recurring or one-off charge to a lease. Archived types don't appear there.

Common problems

I can't delete a charge type

If the type was ever used on a charge, you see "Can't delete a charge type that's already in use." and nothing is deleted. Archive it instead. It disappears from the pickers and your history stays intact.

The type is missing when I add a charge

Two reasons. The type is archived, so restore it. Or it is one of the system types (rent, advance rent, caution), which you can't post by hand. Also check that you are in the right organization.

I don't see the button to add a charge type

Only Owners and Administrators get it. Managers and Caretakers can read the list but not change it.

I can't edit Rent, Advance rent or Caution

That is on purpose. Their amounts come from each lease (monthly rent, number of advance months, caution amount), so there is nothing to set on the type. Change the lease terms instead.

Does the default amount bill anyone automatically?

No. It only pre-fills the amount field when you add a charge. Nothing is billed until you add a charge to a lease.
