Organize properties into groups
Create property groups, put properties in them, and rename or delete a group, so a large portfolio stays easy to browse.
Before you start
Any member of the organization can create, edit and delete property groups, whatever their role. Groups are optional. They help once you have more than a handful of properties, for example one group per town or per owner.
A property belongs to one group at most. A property with no group sits under Ungrouped on the same page.
1. Create a group
In the menu, select Properties, then Add group. A form opens with these fields:
- Group Name (required): for example "Immeubles de Douala". Use at least 2 characters.
- Location: the town or area the group covers, for example "Douala".
- Description: anything your team should know about the group.
Select Create Group. The list refreshes and you see "Property group created successfully!"
2. Put a property in a group
A new group is empty. To fill it, pick the group in the Property Group field of a property. You can do this when you add the property, or later: open the menu on the property's row, select Edit, change the field and save. To take a property out of a group, set the field back to No Group.
3. Browse your groups
Under Property groups, each group is a row showing its name, its location and how many properties it holds. Select the row to open it and see its properties. The search box on the page looks at group names and property names, and opens the groups that match.
4. Rename or change a group
Open the menu at the end of the group's row, select Edit, change the fields and select Update Group. You see "Property group successfully updated!"
5. Delete a group
Open the same menu and select Delete. The app asks you to confirm, and then shows "Property group successfully deleted!"
The delete option only appears on a group with no properties. Move its properties to another group (or to no group) first.
What happens next
Properties keep their units, tenants and leases when you move them between groups. Groups only change how the list is arranged. If you import a spreadsheet, the group column creates groups for you.
Common problems
I can't delete my group
The Delete option is hidden while the group still has properties. Open each property, change its Property Group, then come back to the group.
My group doesn't show in the property form
Groups are listed by name in the Property Group field. Check that you created the group in the same organization you are working in. If you belong to several organizations, switch to the right one.
I created a group but it is empty
Creating a group does not move anything into it. Edit each property and choose the group, as in step 2.
